Job Summary

  • The Store Officer is responsible for managing the inventory and supplies within the healthcare institution.
  • This role involves maintaining accurate records of all stock items, ensuring proper storage conditions, and utilizing software applications to manage inventory efficiently.
  • The Store Officer will work closely with various departments to ensure that all materials and equipment are available as needed.

Key Responsibilities
Inventory Management:

  • Maintain accurate records of all inventory items using storekeeping software applications.
  • Monitor stock levels and reorder supplies as necessary to avoid stockouts.
  • Conduct regular physical stock counts and reconcile discrepancies with recorded data.
  • Ensure proper labeling and storage of all items to prevent damage and contamination.

Receiving and Issuing Supplies:

  • Receive and inspect incoming supplies for quantity and quality.
  • Document all received items and update inventory records accordingly.
  • Issue supplies and equipment to various departments as per approved requisitions.
  • Ensure timely and accurate delivery of supplies to requesting departments.

Software Utilization:

  • Use inventory management software to track and manage stock levels.
  • Generate reports on inventory status, usage trends, and stock movement.
  • Train other staff members on the use of inventory management software as needed.

Quality Control:

  • Ensure that all supplies meet the required standards and specifications.
  • Report any discrepancies or issues with supplies to the Head of Supply Chain Management.

Compliance and Documentation:

  • Maintain compliance with all relevant policies and procedures related to inventory management.
  • Keep accurate and up-to-date records of all inventory transactions.
  • Ensure that all documentation is properly filed and easily retrievable.

Collaboration and Communication:

  • Work closely with procurement, finance, and other departments to coordinate inventory activities.
  • Communicate effectively with suppliers and vendors to resolve any issues related to supplies.
  • Provide regular updates to the Head of Supply Chain Management on inventory status and issues.

Safety and Security:

  • Ensure that the storage area is secure and only authorized personnel have access.
  • Maintain a clean and organized storage area to promote safety and efficiency.
  • Follow all safety protocols and guidelines to prevent accidents and injuries.

Requirements

  • Bachelor’s Degree in Supply Chain Management, Business Administration, or a related field.
  • Minimum of 3 years of experience in inventory management, preferably in a healthcare setting.
  • Proficiency in using inventory management software and other related applications.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and a high level of accuracy in record-keeping.
  • Ability to work independently and as part of a team.
